Recently, I’ve been undertaking a lot of research, including the excellent in-depth “AI for Designers” course from the Interaction Design Foundation, led by the incredibly insightful Ioana Teleanu. Alongside this, I’ve had a front-row seat to the exciting research and development we’re doing here at Box UK. All of this has completely transformed how I see technology’s role in shaping businesses and, of course, design!

So, if you’re curious about how AI can be a powerful ally, especially when we sprinkle some human design magic on top, I’d love to share with you what I’ve learned.

Welcome to another article in my “AI for Decision-Makers” series, the go-to resource for understanding the real value of AI, without the fluff. So far, we’ve explored how to ride the AI wave and discussed the two mindsets of designing for and with AI.

But now it’s time to go back to basics and tackle the million-pound question:

What actually is Artificial Intelligence?

Spoiler: it’s not a silver bullet, a mystical robot, or a replacement for human creativity. It’s actually something more grounded, more powerful, and yes, more useful, than that.

Let’s unpack it.

Defining AI: no Sci-Fi, just Smart Systems

At its core, Artificial Intelligence refers to the ability of machines to mimic human cognitive functions, such as:

  • Learning from experience
  • Recognising patterns
  • Making decisions
  • Predicting outcomes
  • Understanding and generating language or images

Think of AI as a spectrum of smart capabilities that allow machines to do what humans do, but with a level of speed, scale, and consistency we can’t match.

That’s it. No spooky sentience required.

But wait, what’s the difference between AI, Machine Learning, and Generative AI?

This is one of the most common sources of confusion, especially in boardrooms.

Let’s clarify:

  1. Artificial Intelligence (AI)
    The umbrella term for systems that mimic human intelligence. This includes everything from rule-based automation to advanced learning algorithms.
  2. Machine Learning (ML)
    A subset of AI that refers to systems that learn from data rather than being explicitly programmed. The more data they receive, the better they get.
    Example: A model that identifies fraudulent transactions after analysing thousands of previous cases.
  3. Generative AI (GenAI)
    A more recent (and headline-grabbing) type of ML. These systems can create new content (text, images, code, music) based on patterns they’ve learned.
    Example: ChatGPT writing a press release or DALL·E creating a concept image for your next campaign.

They’re all part of the same family—just with different capabilities and specialities.

How AI works (in simple terms)

AI might seem like magic, but it’s really just math, data, and logic.

Here’s a simplified look at how most AI systems work:

  • Input – Raw data: text, clicks, images, speech, spreadsheets, etc.
  • Processing – Algorithms analyse this data using models trained on similar examples.
  • Output – The system provides a prediction, suggestion, answer, or action.

Example: You type “best coffee near me” into a chatbot → The AI processes your query, location, and past behaviour → It gives you a ranked list of nearby cafés.

This all happens in milliseconds but every result is shaped by the data the system learned from and the parameters set by its designers.

Why should businesses care?

Here’s the key point: AI isn’t a passing trend. It’s a fundamental shift in how digital products are built, decisions are made, and value is delivered.

For your business, this could mean:

  • Smarter services that adapt to users in real time
  • More efficient teams using AI as co-pilots for research, writing, design, and testing
  • Faster insights from customer data
  • Better personalisation across channels and touchpoints
  • A competitive edge through faster iteration and automation

Whether you’re a product owner, marketing lead, or transformation director, you don’t need to become a data scientist. But you do need to understand what AI can do, what it can’t (yet), and how to identify the right opportunities.

AI = Augmentation, not Automation

One of the best takeaways from the IxDF course was this:

AI isn’t here to replace designers—it’s here to augment them.
(Same goes for your marketers, strategists, analysts, and engineers.)

This shift isn’t about removing the human touch. It’s about freeing up your people to focus on the creative, strategic, and value-driven work that machines can’t do.

Think of AI as a team member—a super-curious intern with infinite memory and no ego. That’s the mindset that unlocks real impact.

Curious where to start?

You don’t need a moonshot project to start seeing value from AI. Begin by asking:

  • Where are teams repeating the same tasks every week?
  • Where is decision-making delayed by information overload?
  • Where are users asking for more personalisation, speed, or support?

There are likely AI-powered tools that can help—and Box UK can support you in identifying which ones are worth testing first.

TL;DR – The 5 things every business should know about AI

  • AI ≠ Magic – It’s maths, data, and logic trained to solve specific problems
  • AI ≠ Human – It’s not conscious, ethical, or emotional (that’s your role!)
  • AI ≠ Optional – It’s already embedded in tools you use today
  • AI ≠ Perfect – It needs oversight, good data, and thoughtful design
  • AI = Opportunity – For productivity, innovation, accessibility, and agility
